- re:Search(R) Tutorial
-
-
- The re:Search(R) Interactive Demo Disk gives you all the capabilities
- of the re:Search(R) product, with the exception of building your own
- index.
-
- Tutorial
-
- General rules
-
- Throughout this demo the following general rules apply:
-
- ■ Help is always available by pressing F1.
- ■ All command selections may be made by either:
- 1) Entering the Upper case letter in the command, or
- 2) Moving the highlight bar with arrows and pressing Enter.
- ■ Scrolling text or an image may be accomplished by using the
- up/down/left/right arrow keys.
- ■ Enter will always get you deeper into an option, Escape will
- always bring you out.
-
- If re:Search(R) has been properly installed, you will now see on your
- screen:
-
- ■ The re:Search(R) logo.
- ■ The Main Menu.
-
- Main Menu Options
-
- There are five options in the Main Menu:
-
- ■ sYstem - System level options, Exit
- ■ Library - Select Subject Area of Catalog for
- access to Documents
- ■ Browse - Browse a Document
- ■ Search - Specify Text Search
- ■ Print - Print a complete document
-
- Library
-
- When re:Search(R) comes up on your screen, the Library option is
- automatically highlighted, assuming that the first logical action
- you'll want to take is to access data from documents in a library.
-
- Selecting a Subject Area or Catalog
-
- ■ Choose the Library option by pressing Enter.
-
- ■ SUBJECT AREAS are enclosed in brackets. Catalogs are not.
- The subject areas in this demo library are [re:Search
- General Demo] and [re:Search Sigcat Demo]. The catalogs in
- this demo are FIRMR Documents and CD-ROM Titles and
- Publications, found in the Sigcat demo; Images, Manuals,
- Newsletters and Readings, found in the General Demo, and
- finaly the Tutorial catalog. (However, many subjects and
- catalogs may be stored in the library.)
-
- ■ Highlight the Subject Area you want (choose either
- [re:Search General Demo] or [re:Search Sigcat Demo]), and
- press Enter.
-
- ■ Then highlight the Catalog you want (try Newsletters in
- [re:Search General Demo] or FIRMR Documents in [re:Search
- Sigcat Demo]), and press Enter.
-
- ■ In the Main Menu: The Browse option will automatically be
- highlighted. re:Search(R) assumes that the next logical
- action you'll want to take is to browse. If, however, you
- wish to perform a search, simply choose the Search option.
-
-
- Browse
-
- Once you've selected a Catalog or Subject Area, you're ready to browse
- the documents contained in it.
-
- ■ Press Enter, and a document list appears.
- ■ Highlight the document you want.
- ■ Press F3 to open the Field window and view field values, Esc
- closes the Field window.
- ■ To browse the document, press Enter. (To browse documents
- with images, try `Personal Financial Planning #2' or
- `Personal Financial Planning #8' in the Newsletters catalog,
- or any of the documents in the Readings catalog).
-
- As soon as you select a document for browsing, the Browse Window
- closes, and the first page of the document is displayed. The document
- is enclosed in a frame, which contains several useful items:
-
- ■ The document title is displayed at the top of the frame.
-
- ■ A pointer appears on the left side of the frame. The
- pointer tells you which line on the screen is active; for
- example, the line adjacent to the pointer is the top line
- for scrolling and is the line at which you can post a
- "sticky note."
-
- ■ A small rectangle appears in an otherwise shaded column
- along the right side of the frame. This is a `yardstick' to
- indicate the depth of the current page within the document.
-
- ■ The number of printed pages in the document is displayed at
- the lower right corner of the frame.
-
- Browsing a Document:
-
- ■ Home/End - Moves immediately to the top or end of the
- document.
-
- ■ PgUp/PgDn - Scrolls through the document, up or down, one
- screen at a time.
-
- ■ Arrow Keys - Scrolls through the document,
- up/down/left/right, one line at a time.
-
- ■ Numeric Keys 1, 2,...9 - Jumps to a percentage location
- within the document (10%, 20%, 90%). Notice that the small
- white rectangle indicates how far you are into the document.
-
- ■ F3 to open the Field window and view field values, Esc
- closes the Field window.
-

-
-
- Search
-
- re:Search(R) has a number of powerful capabilities for searching and
- retrieving text: Simple searching, Boolean searching, Proximity
- searching, and Wildcard searching. You can use the capabilities
- individually, or you can combine them.
-
- Simple Searches
-
- A simple search is a search for a specific word, phrase, or number.
- To initiate a search:
-
- ■ Select a Catalog or Subject Area using the Library option.
- ■ Highlight the Search option, and press Enter.
- ■ Type in the word or phrase you wish to search for in the box
- under the instruction `Enter Search Text'.
- In Newsletters, try the word medicare. Press Enter.
- In FIRMR Documents, try the word government or environment.
- Press Enter.
-
- A pull-down window known as the Search Options Menu appears:
-
- Current search - Displays current search criteria
- New Search - Cancels current search and initiates a new search
- And ... - These are called Boolean operators. They are used to
- Or ... refine or enlarge the search
- and noT by letting you add a word, phrase, or text, and
- conducting a search that depends
- on the relationship of the current search text to the
- addition.
- View - View a Document
-
- The message at the bottom of the screen indicates how many times the
- search text was found (Hits) and in how many documents.
-
- Once re:Search(R) has completed the initial search, it assumes that
- you'll want to view the documents containing the Hits. That's why it
- automatically highlights the word View in the Search Options Menu.
- However, you have a choice:
-
- ■ You can View the Hit List and the Individual Hits, as
- re:Search(R) assumes you'll want to do immediately; or
- ■ You can reduce the number of Hits--i.e., Refine the Search--
- by selecting other options in the Search Options Menu.
-
- Viewing the Hit List
-
- ■ With the menu item View highlighted, Press Enter. A list of
- documents containing hits of the current search will be
- displayed.
-
- This list is displayed in Rank Order, that is, the documents with the
- most hits are displayed at the top of the list and the documents with
- the fewest hits are displayed at the bottom of the list. The hit list
- may also be displayed in Document Order, where the list is displayed
- by alphabetical order of documents in the catalog.
-
- To Toggle between Rank and Document Order:
-
- ■ Press Alt-O (hold down the Alt key and press the O key)
-
-
- Scaling and Zooming Images
-
- re:Search will automatically scale images to the size of the screen,
- and then allow the user to zoom (reduce and enlarge) the image from
- 10% to 200% Zooming an image may take several seconds if your image
- is large in size.
-
- ■ To view an image, use the arrow keys to position left margin
- pointer » to Image line. Press Enter to open up the image.
-
- ■ To reduce an image from 10% up to 100%, use Numeric Keys
- 1...0 . For instance, to reduce an image to 50%, press 5.
-
- ■ To enlarge an image from 110% up to 200%, press Alt-1 (for
- 110%), up to Alt-0 (for 200%).
- For instance, to zoom an image to 150%, press Alt-5.
-
- ■ To scroll an image, use arrow keys (up/down/left/right), or
- press Ctrl-arrow key.
-
- ■ Press Esc to exit an image.
-
-
- Printing Hit List Documents
-
- To Print the Hit List:
-
- ■ Press Alt-P. re:Search(R) will print the catalog name, the
- search that was used, and the list of
- documents hit along with the number of hits per document.
- The hit list will be printed in the same order (Rank or
- Document) that is shown on the screen.
-
- To Print a Single Document:
-
- ■ Highlight the document while the hit list is shown on the
- screen and press Alt-D.
-
- To Print All Documents:
-
- ■ Press Alt-A.
-
- Viewing Individual Hits
-
- ■ Highlight the first document you want to view. Press Enter.
-
- The same keys are used in viewing a document during a search as
- browsing a document (Please refer to Browsing a Document). However,
- after a search, you will want to view the individual hits of the word
- or phrase you've entered, so the following keys apply:
-
- ■ Ctrl-Home/Ctrl-End - First hit/Last hit
- ■ Ctrl-PgUp/Ctrl-PgDown - Previous hit/Next hit
- ■ Space Bar - Return to most recent hit viewed
- ■ Esc - Return to Main Menu
-
- Refining a Search
-
- You can refine your current search or compound a new search using
- Boolean operators, Proximity searches, Directional searches, and
- Wildcard searches, in any combination.
-
- Boolean Searches - And ... Or ... and noT ... are called Boolean
- operators. They are used to refine or enlarge the search by letting
- you add a word, phrase, or text and conducting a search that depends
- on the relationship of the current search text to the addition.
-
- And ... (A And ... B). re:Search(R) finds the documents that contain
- both A and B. It will display individual hits of A and B within
- documents that contain both. This Boolean operator may narrow or
- enlarge the search that began with A alone.
-
-
-
- Or ... (A Or ... B). re:Search(R) finds the documents that contain
- either A or B or both. It will display individual hits of A and B in
- all documents that contain one or the other or both. Or... is usually
- used to enlarge the search.
-
- and noT ... (A and noT ... B). re:Search(R) finds only those
- documents that contain A and not B. It will display only hits of A
- that occur in those documents. and noT ... is usually used to narrow
- the search.
-
-
- To perform a Boolean search:
-
- ■ Esc to Search options menu. Highlight New search and
- perform a simple search.
- ■ After a successful search, highlight a Boolean operator in
- the Search Options Menu. Type in word or phrase. Press Enter.
-
- Try the following searches in Newsletters:
- ■ inflation (simple search) And... recession
- ■ stocks (simple search) Or... bonds
- ■ income (simple search) and noT... deferred
- and in FIRMR Documents:
- ■ government (simple search) And... operations
-
- Once again you can choose to view the Hits in context within the
- documents, or you can use the Boolean operators as many times as you
- like to refine or expand the search. Each time you expand your search
- with another Boolean operator, re:Search(R) treats the completed part
- of the search as a unit (or operand) and then operates on the newly
- specified operand. Try your own boolean searches and experiment.
-
-
-
-
-
- Proximity Search
-
- In addition to searching for phrases and using Boolean operators,
- re:Search(R) offers other techniques to make searching more selective
- and responsive to your needs. As often happens, you might not even
- know what specific word or phrase to search for. Or you may not want
- to see all the Hits for a given selection. Rather, you may want to
- view Hits of particular words that may not be right next to each other
- but that fall within a few words of each other. In such cases, a
- proximity search will meet your needs.
-
-
- To conduct a proximity search:
-
- ■ Start a New search. In the Search Text Entry Box, type in
- the first word or phrase that you want.
-
- ■ Skip a space and type the symbol @, followed (without
- skipping a space) by a number. The number represents the
- range of the proximity search.
-
- ■ Skip a space and type the concluding word or phrase for the
- proximity search. You can add a proximity search to a
- current search by appending it to a Boolean operator. You
- could, for instance, try the following searches:
-
- In Newsletters:
- ■ estate @3 tax ■ federal And ... estate @3 tax
- In FIRMR Documents:
- ■ government @10 agencies ■ planning @10 budgeting
-
- re:Search(R) treats proximity searches as units. So in the second
- example above, it would not search for And ... estate. It would
- search for federal first AND then search the documents that met the
- condition for the occurrence of estate within 3 words of tax.
-
- Directional Searches
-
- Unless you instruct it to do otherwise, re:Search(R) automatically
- conducts unidirectional searches. But you can choose to make
- proximity searching bidirectional. For the example above,
- unidirectional means that re:Search(R) will display only those Hits
- where tax occurs within three words after the occurrence of the word
- estate. Bidirectional, on the other hand, means that re:Search(R)
- will display Hits where tax occurs within three words before or after
- an occurrence of the word estate.
-
- To choose Bidirectional searching:
-
- ■ Press Esc to return to the Main Menu.
- ■ Highlight sYstem.
- ■ Search bidirectionally (OFF) is highlighted.
- ■ Press Enter to toggle. Search bidirectionally (ON) should
- now be highlighted.
- ■ Press Esc to return to the Main Menu.
- ■ Return to the Search option by highlighting Search in the
- Main Menu.
- ■ Start the proximity search, as described on Proximity
- Searches above.
-
-
- Multiple Proximity Search
-
- A multiple proximity search is a powerful means for refining your
- search even more.
-
- In the Newsletters catalog, suppose you want to locate all Hits in
- which reduce occurs within a certain number of words of estate and
- tax. To locate those Hits, you'd conduct a multiple proximity search.
- To perform the above multiple proximity search, you might enter the
- following in the Search Text Box:
-
- ■ reduce @5 estate @3 tax
-
- You can add a multiple proximity search to a current search by
- appending it to a Boolean operator. For example:
-
- ■ income trust And ... reduce @5 estate @3 tax
-
- re:Search(R) treats multiple proximity searches as units.
-
-
- Wildcard Searches
-
- Sometimes you want to locate references to a word whose exact spelling
- you don't know. Or to an idea for which several words or phrases
- exist. Or to a word that may appear as a noun, verb, adjective, or
- adverb. Or to a word that may appear in singular or plural form. A
- wildcard search enables you to search for a segment of a word or
- phrase so you can catch all of its variations. For instance, in the
- sample catalog, suppose we wish to view Hits for references to
- children. But we know that there may be references cited not only as
- children but also as child and child's.
-
- To perform a wildcard search for children and its potential
- variations, we would go into Newsletters and type the following in the
- Search Text Box:
-
- ■ child*
-
- where an asterisk (*) represents the wildcard. In other words, for
- the above search, re:Search(R) will locate all occurrences of the word
- child*, no matter what follows the letters child (including spelling
- errors or typos). Wildcard searches accommodate both simple searches
- as well as proximity searches.
-
- For example, you can search for:
-
- ■ child* (simple search)
-
- ■ child* OR ... income (simple search using the Boolean
- operator Or...)
-
- ■ child* @5 income (proximity search)
-
-
- Wildcards may also appear in front of and embedded in a word. Please
- note that these wildcard searches may take longer to complete than a
- wildcard which appears at the end of a word. Only one wild card is
- allowed per word. The following are valid wildcards:
-
- ■ *ild
-
- ■ ch*d
-
- Wildcard searches can be combined with the various other searches
- available. You can add a wildcard proximity search to a current
- search by appending it to a Boolean operator. For example:
-
- ■ securit* And ... mutual fund* Or ... growth stock*
-
- A single wildcard character (*) may be used to indicate 'any word'.
- Following are all valid uses of this feature:
-
- ■ estate * tax (up to one word between "estate" and "tax")
-
- ■ estate * * * tax (up to three words between "estate" and "tax")
-
- Field Searches
-
- Documents can also be searched via pre-defined fields. These fields
- (up to 100 per catalog) provide a means to classify and organize
- documents based on key words, numbers, and dates.
-
- In the Newsletters catalog, suppose you want to locate all Hits that
- occur in a document from the specific year. To locate those Hits,
- you'd conduct a search using the field search option. For example, to
- find all documents referencing `insurance' from the year 1989, enter
- the following word in the search text box:
-
- ■ insurance
-
- You will find 45 hits across 7 documents. Next, narrow the search by
- using a Boolean operator with a field search:
-
- ■ Select the Boolean operator And...
- ■ Press F3 while in the Search Text Box to open the Select
- Field window.
- ■ Highlight the field name year and press Enter to accept and
- move to the Select Operator window.
- ■ Highlight is equal to and press Enter to accept and return
- to the Search Text Box.
- ■ Type in the remaining search criteria. In this case, type
- 1989 and press Enter to invoke search.
-
-
- Your search should look like this:
-
- ■ insurance And... #YEAR = 1989
-
- You will find 12 hits across the 2 documents which were published in 1989.
-
- In CD-ROM Titles and Publications catalog, located in the [re:Search
- Sigcat Demo] subject area, suppose you wanted to find a CD-ROM put out
- by a certain company but can only remember that the company name had
- the word National in it. You would select [re:Search Sigcat Demo] then
- CD-ROM Titles and Publications then highlight search and press Enter.
- When the Search Text Box appears you:
-
- ■ Press F3 to open the Select Field window.
- ■ Highlight the field name SNAME and press Enter to accept and
- move to the Select Operator window.
- ■ Highlight contains and press Enter to accept and return to
- the Search Text Box.
- ■ Type in National and press Enter.
-
- Your search should look like this:
-
- ■ #SNAME CT National
-
- You will find 36 documents in which the company name contains the word
- National.
-
-
- Saving and Recalling Searches
-
- re:Search(R) now allows you to save and recall frequently used
- searches:
-
-
- To save a current search:
-
- ■ Type in a search as you normally would. For instance, try
- `coast guard cutter' in the manuals catalog.
- ■ Select Save search from the Search Menu.
- ■ When the Enter Search Description box appears, type in a
- reference name for the search (i.e. `coast guard cutter').
- The name may contain up to 60 characters.
- ■ Press Enter to accept the name and return to the Search menu.
-
- To recall a saved search:
-
- ■ Select New search from the Search Menu.
- ■ When the Enter Search Text box appears, press F5.
- ■ The Select search box will appear. Highlight the search you
- wish to recall and press Enter.
-
- The Search is recalled and performed. When the search is completed,
- the Select Menu appears.
-
-
- Local Searching within a Document
-
- Local searches are performed within a document being browsed or
- viewed.
-
- To perform a local search:
-
- ■ Press L and the Enter Local Search Text box will appear.
- ■ Type the search text (word or phrase, no wildcards or
- proximity searches) and press Enter.
-
- The search begins from the top of the document. When a match is
- found, the search is terminated and the searched text is highlighted.
-
- ■ To find the next occurrence of a local search, press Alt-L
- (hold down the Alt key and press the L key)
-
- Sticky Notes Searching
-
- Sticky notes searching works in the same way as local searching, and
- are performed within a document being browsed or viewed:
-
- To perform a sticky note search:
-
- ■ Press S and the Enter Sticky Note Search Text box will appear.
- ■ Type the search text (word or phrase, no wildcards or
- proximity searches) and press Enter.
-
- The search begins from the top of the document. When a match is
- found, the search is terminated and the sticky note text is highlighted.
-
-
- ■ To find the next occurrence of a sticky note search, press Alt-S.
-
-
- Once you have completed the tutorial, try your own searches. Some
- good searches in the Manuals catalog are: Figure* (to find images),
- Coast Guard, and cutter*. The Images catalog contains 16-level color
- and gray-scale images.
-
-
-
